Cancellation/Refund Policy

Refunds for registration fees—less a $75 service fee— will be given for cancellation requests received in writing on or before March 15, 2009. No refunds will be made for cancellations received after March 15, 2009 or no-shows.

Written requests must be sent to VisMasters and postmarked on or before March 31, 2008. E-mail, info@vismasters.com; fax 859-381-1108; or mail to VisMasters, 163 East Main Street, Suite 310, Lexington, Kentucky USA 40507. Cancellations will not be accepted by phone. Credit card refunds will be processed immediately.

VisMasters reserves the right to cancel the conference if the minimum pre registration is not met. If such a cancellation occurs, registration fees will be refunded automatically.

Special Needs Requests

If you have any special needs, we are here to accommodate you. Please indicate any dietary, physical, cultural, or religious needs we would need to know to make your conference experience more pleasurable. Please return all requests for special needs by March 28, 2009 to Dee Fife at dfife@archvision.com. Please note: If you are entitled to any special needs as defined by the ADA, i.e. interpreter, and you opt to forego this accommodation, attach a signed and dated written waiver clearly stating your decision. If you decide you do need special accommodations, you must submit a request no later than March 28, 2009 if special needs are to be met.

Policy Regarding Extraordinary Circumstances

Circumstances that could effect the Design Modeling and Visualization Conference could include emergency conditions resulting from acts of God, acts of war or terror or other acts of enemies, disaster, strikes, floods, civil disorder, curtailment of transportation facilities, or other emergencies or events beyond our control.

In the event such emergency conditions should make it inadvisable, unsafe, illegal, or impossible to provide required accommodations and/or meeting facilities, hold the convention, or travel to the convention, we reserve the right to cancel the conference and all related activities.

VisMasters and others involved in the conference disclaim liability for any personal injury or property damage that result not from their actions, but rather result from emergency conditions.

In the event that any conference-related meetings, classes, seminars, programs, tours, exhibits, receptions, gatherings, or other events or activities are cancelled or curtailed (whether due to emergency circumstances or otherwise), the following will apply:

VisMasters will refund the money you paid for the event or activity. They will not, however, be liable to you for any greater dollar amount, nor will they be liable for special, consequential, exemplary, or other damages.

* Video Session Recordings

Where possible VisMasters will record selected screen casts of DMVC 2009 sessions. Access will be provided to conference attendees where their registration package includes video session recordings within 60-90 days following the conference. VisMasters may "black out" or remove certain visuals or information, presented in the live seseesion, from the recorded versions. Removal of such material will be in accordance with the copyright permissions provided by the presenter and their respective companies.
VisMasters will endeavor to ensure as many sessions are recorded, however there is no guarantee that every session will be available and will not provide any compensation in the event some or all sessions are not recorded. Video Session Recordings have no cash value related to registration.
